Cold Storage

Authorized users can add and edit cold storage units (refrigerators and freezers) and upload temperature logs.

Note that there are two properties related to cold storage units (see Properties):

To access cold storage information in VOMS, click the Cold Storage menu link. The Cold Storage page opens. From this page, authorized users can:

View/Edit Cold Storage Unit Temperature Data

To view cold storage unit temperature data, click the Cold Storage menu link. The Cold Storage page opens with a list of all of the existing cold storage units, both refrigerators and freezers.

To export temperature logs for a specific date range, select the date range (using the previous and next week arrows), then scroll to the bottom of the page and click Export.

The available options, columns, and fields on this page are as follows:

Option/Column/Field Description
Display as Select how the list should be displayed:
  • 2x Daily Temps - to record the temperatures two times daily
  • Min/Max - to record the minimum and maximum temperatures
Display Inactive Units To include inactive units in the list, select this option.
Table View / Graph View Toggle the switch between the two types of views. When in Graph View, enter a start date and end date and/or click Previous Week or Next Week to change the date range. Also within the Graph View, you can select one specific cold storage unit to view temperature data about (select it from the Cold Storage Unit drop-down list).
As of date To display the list for a week other than the current one, click in this field and select the date (a week at a time) from the calendar that pops up.
Upload Temperature Log Enter a date and then click this button to upload the temperature log. See Upload Temperature Logs.
Edit icon (Edit icon) Click the Edit icon  in the upper left-hand corner of the Storage Unit column to edit the cold storage unit information.
Storage Unit The cold storage unit's name and ID number.
Sunday - Saturday Enter the time and temperature for the cold storage unit. If 2x Daily Temps is selected as the display type, click in an AM or PM field and enter the time, then enter the temperature in the C or F field, for each day that the office is open. (If the office is closed, Office Closed displays instead of the input fields.) If Min/Max is selected as the display type, enter the minimum and maximum temperatures for each day that the office is open. Click Save (at the bottom of the page) when finished. Note that the days can be changed to different weeks by clicking the forward and backward arrows located to the right and left of the days, respectively.
Add Cold Storage Unit Click this button (located at the bottom of the page) to add a new cold storage unit. See Add a New Cold Storage Unit.
Export Click this button to export the information to a downloadable CSV file.
Save Click this button after entering temperature information.

Users can visually see if/when temperatures have been out of acceptable range by sliding the toggle switch from Table View to Graph View. The graph visually displays the temperatures for each day. Hover the mouse icon over individual data points to view additional information. While in Graph View, click Export to open a printable view of the graph.

Add a New Cold Storage Unit

To add a new cold storage unit, first click the Cold Storage menu link, then scroll to the bottom of the Cold Storage page and click Add Cold Storage Unit. On the page that opens, select either Freezer or Refrigerator. Enter the information and click Add Location when finished. The new cold storage unit is added to the list on the main Cold Storage page.

The fields and options available on the Add Cold Storage Unit page (freezer or refrigerator) are as follows. Required fields are marked with an asterisk (*).

Field/Option Description
Freezer / Refrigerator Name Enter a descriptive name for the cold storage unit. This field is required.
Freezer / Refrigerator Type Select the freezer or refrigerator type from the drop-down list. This field is required. Examples: Commercial (industrial grade), Pharmaceutical (medical grade), Stand Alone.
Manufacturer Enter the manufacturer name. This field is required.
Model Number Enter the model number. This field is required.
Purchase Date Click in the field and select the purchase date from the calendar pop-up. This field is required.
Effective From Click in the field and select the effective from date from the calendar pop-up. This is the date that the cold storage unit will be available for use. This field is required.
Inactivate Freezer / Refrigerator To inactivate the cold storage unit and remove it from related drop-down lists, select this option.
Thermometer Serial Number Enter the serial number for the thermometer used by this cold storage unit.
Thermometer Type Select the thermometer type from the drop-down list. This field is required. Examples: Continuous Recording, Dial, Digital Data Logger, Min/Max, Digital, Standard Fluid Filled, Other.
Other Device If Other is selected for the thermometer type, enter the type here.
Temperature Scale Select Fahrenheit or Celsius from the drop-down list. This field is required.
Date of Last Calibration Click in this field and select the last calibration date from the calendar pop-up. This field is required.
Calibration Expiration Click in this field and select the calibration expiration date from the calendar pop-up.
Add Location Click this button to add cold storage location information, including:
  • Floor name or number
  • Room name
  • Cart name or number
  • Number of shelves (select from drop-down list)
  • Pick Exclusion (select this option to prevent the location from appearing in related drop-down lists)

Click Save when finished adding the location information.

Edit a Cold Storage Unit

To edit a cold storage unit, first click the Cold Storage menu link, then locate the unit in the list. Click the Edit icon (Edit icon) for that unit to open the Add/Edit Cold Storage Unit page. Make the necessary changes and click Save.
