Upload Temperature Logs

Cold storage temperature logs can be uploaded into the IWeb application for tracking purposes. Use the Vaccine Storage > Upload Temperature Logs link in VOMS to access the Temperature Upload page in IWeb.

NOTE: If the IWeb application "timed out" or otherwise cancelled the session, it may open to the login page instead of the Temperature Uploads page. Log in to the application again, click the Inventory Management menu link to return to VOMS, and then re-click the Vaccine Storage > Upload Temperature Logs link in VOMS.  

Enable/Disable the Upload Temperature Data Option

The Upload Temperature Data option must be set in the IWeb application in order to be able to upload the data. To set this option for an organization, follow these steps:

  1. Log in to IWeb.
  2. Click Organization (IRMS) > Search/Add on the menu.
  3. Enter criteria to search for the specific Organization (IRMS) and click Search.
  4. If a list of Organizations appears in the search results section, click the arrow button next to the correct name; otherwise, the specific Organization (IRMS) Maintenance (Details) page will open. Click the Edit button on this page.
  5. Scroll down to the Vaccine Management section toward the bottom.
  6. Select the Upload Temperature Data option and click Save.

To disable the option, follow the above instructions to return to the page, select the option remove the checkmark from the checkbox, and click Save.

Temperature Monitoring Data Profile

To set the temperature monitoring settings and data profile information, follow these steps:

  1. Log in to IWeb (if necessary).
  2. Click Imports > Temperature Upload on the menu.
  3. On the Temperature Upload page, select a cold storage unit from the Select Cold Storage drop-down list.
  4. The Select Import Profile field should be empty ("--select--"). To create the first Import Profile, click the Define Data Profile button.
  5. Enter a name for the new profile and click Continue.
  6. Paste a sample line in the Sample Line field and select either Tab Delimited, enter a delimiter character (after which Delimited is automatically selected), or enter the fixed width field lengths separated by commas, after which the Fixed Width option is automatically selected).
  7. Click Evaluate Sample Line. The Temperature Profile Creator - Assign Fields page opens.

On the Temperature Profile Creator - Assign Fields page, the following fields appear:

Sample Field

Each of the fields included in the sample line appear in this column. Verify the format of each field and that all of the fields are included. If any fields are missing, click Back and enter the correct sample line. If all of the fields are on one line, click Back and fix the delimiter option.

Field Definition

Select the field's definition from the drop-down list.

Data Format

If necessary, select the appropriate data format from the drop-down list. Dates/times and full names are examples of fields that might require a format selection from this drop-down list.

Enter the information as necessary and click Submit Definitions. This saves the profile and exits either to the initial Temperature Upload page (indicating the profile was successfully saved) or the Temperature Profile Creator - Define Default Value.

To define default values on the Temperature Profile Creator - Define Default Value page, select a field definition from the drop-down list and enter the default value for that field. Click Add New Default to add another one. Any default values already created are listed in the Default Values section on the page. Click Remove Default for a default field to delete it from the list. When finished adding default values, click Save Profile. The Temperature Upload page reopens. The saved profile now appears in the Select Import Profile drop-down list.

Import Temperature Monitoring File

Assuming you are already logged in, follow these steps to import the file:

  1. On the Temperature Upload page, select the Cold Storage Unit for which you are importing temperatures.
  2. Select your Import Profile from the data logger.
  3. Click Choose File, then navigate to and select the file.
  4. Click Import.

To verify the file was successfully uploaded and imported, follow these steps:

  1. On the Temperature Upload page, click View Logs.
  2. On the View Logs page, click the arrow button next to the log you want to view. A message appears at the top describing a successful upload or listing any errors.

Report to State

A user with the correct access level and permissions can send temperature data for cold storage units to the state. However, a valid email address must be entered in IWeb for Administration > Settings > Email Settings > Address for Emailing Temperature Logs. To report temperatures to the state,  click Report to State on the Temperature Upload page. The Temperature Report is sent to the state.

Return to VOMS

To return to the VOMS application, click the Inventory Management menu link in IWeb.
