Data Summary: Patient Records Summary

The Data Summary menu link opens the Patient Records Summary page in the application, which is available to both State users and Organization/Facility users. (The organization/facility must be selected before opening the page.) The graphs on this page quickly show the user important information about patient and vaccination record data quality.

To switch between Pre-Production and Production stages (if applicable), select the correct stage from the drop-down list on the top right side of the page.

The graphs displayed on this page depend on the user type.

State users have access to these graphs:

• Patient Records Received by PHC-Hub - Displays the number of patient records saved in the IIS, processing in the IIS, in HL7 validation, and in Issue Resolution validation.
• Patient Records Accepted by IIS - Of the number of patient records accepted by the IIS, this graph displays the number of patient records that are new versus updates.
• Patient Records in Processing - Of the number of patient records currently being processed, this graph displays the number of patient records in Ambiguous ID and the number in Manual Deduplication.
• Vaccination Records Accepted by the IIS - Of the number of vaccination records accepted by the IIS, this graph displays the number of Administered and Historical vaccinations.  
• Vaccination Records Received by PHC-Hub - Displays the number of unique vaccination records and the number of updates to vaccination records received and processed by the PHC-Hub application.
• Record Errors Received by PHC-Hub - Of the records with errors received by PHC-Hub, this graph displays the number of vaccination level errors and the number of patient level errors.
• Top 5 Record Errors - Displays the five most common record errors received. Click a bar to display the detailed patient information for an error in a pop-up window, along with the HL7 field, issue, type, recommendation, and the date/time of import. The issues can also be marked as fixed on the pop-up window. Click away from the window to close it.
• Top 5 Record Warnings - Displays the five most common record warnings received. Click a bar to display the detailed patient information for a warning in a pop-up window, along with the HL7 field, issue, type, recommendation, and the date/time of import. The issues can also be marked as fixed on the pop-up window. Click away from the window to close it.

Organization/Facility users have access to these graphs:

• Patient Records in Processing - Of the number of patient records currently being processed, this graph displays the number of patient records in Ambiguous ID and the number in Manual Deduplication.
• Patient Records Accepted by IIS - Of the number of patient records accepted by the IIS, this graph displays the number of patient records that are new versus updates.
• Vaccination Records Received by the IIS - Displays the number of unique vaccination records and the number of updates to vaccination records received and processed by the PHC-Hub application.
• Vaccination Records Accepted by the IIS - Of the number of vaccination records accepted by the IIS, this graph displays the number of Administered and Historical vaccinations.
• HL7 Message Milestone Tracker - Displays the number of patient records saved in the IIS, processing in the IIS, in HL7 validation, Problem Records, and in Issue Resolution validation.
• Record Errors Received by PHC-Hub - Of the records with errors received by PHC-Hub, this graph displays the number of vaccination level errors and the number of patient level errors.
• Top 5 Record Errors - Displays the five most common record errors received. Click a bar to display the detailed patient information for an error in a pop-up window, along with the HL7 field, issue, type, recommendation, and the date/time of import. For each graph on this page, additional information displays when the mouse hovers over a graph bar or pie slice.
