Public Online Reporting

Users with the Public Outbreak Event Link permission (granted in Outbreak Permissions) can send a link to one or more persons to self-report an outbreak. This creates a new outbreak event. The link can be used as many times as needed while it is active.

To activate the public online reporting link:

  1. Click the Home > Outbreak Events tab.
  2. Select the outbreak event from the Current Search drop-down list.
  3. Select the Public Online Reporting option from the Action menu (Action menu) that appears to the right of the Current Search drop-down list. The Public Online Reporting for [Outbreak Name] Outbreak Events pop-up window opens.
  4. By default, the public online reporting link is not active and the Link field is blank.
  5. Toggle the Active button to Yes, the link becomes active and is displayed in the Link field. You can copy the link and send it to one or more persons via email or share it via other means.

You can also activate or deactivate the public online reporting link from the Outbreak Management page. See Outbreak Management.

The available fields and options on the Public Online Reporting for [Outbreak Name] Outbreak Events pop-up window are as follows:

Field/Option Description
Active Toggle this button to Yes to activate the online reporting link.
Link This is the link that is generated after public online reporting is activated. This link can be sent to a group of people via email or shared via other methods.
Activated on: Displays the date and time the online reporting link was activated.
Users to notify by email when the form has been completed: Enter the usernames for the users who are to be notified when the outbreak event form is completed and submitted. You can add up to 15 users.

Once the link is activated and sent to one or more persons via email or shared via another method, the person can click the link to open the outbreak event form without logging in to Sentinel. The external person enters information on the outbreak event form and clicks the Validate and Save button, after which a successful completion message is displayed. After successfully completing and submitting the outbreak event form, an email notification is sent to the user(s) listed in the Users to notify by email when the form has been Completed field on the Public Online Reporting pop-up window, and the new outbreak event is created for the outbreak.

You can view the newly created outbreak event information on the main Outbreak Events tab page. Select the specific outbreak event from the Current Search drop-down list. The Source column of the new outbreak event displays Online Reporting. To view the outbreak event form, click the Edit icon (Edit Outbreak Event ID icon) corresponding to the outbreak event.

The history of changes made to the outbreak event form can also be viewed on the Audit tab page.

At any point in time, you can view what another person has reported online (via the link) by clicking the Edit icon for the outbreak event and selecting the View Online Reporting Form option from the Action menu. The outbreak event form opens in a new browser window or tab.

In the Form Builder, you can view the list of people who have an active session for filling out the form. A person appears in the list until their session for the outbreak event form expires. To view this list:

  1. Click the System Administration > Form Management menu link.
  2. Search for the form in the list and click the Edit button corresponding to the form. The Form Builder opens.
  3. Select the Show Usage option from the More icon (More icon). The Usage pop-up window opens. The list of people with active sessions appears in the Users Currently Using this Form table. If no one has an active session, the table is not displayed on the Usage window.
  4. To return to the Form Builder page, click the X button.

Note that if there is someone actively using the link, the form cannot be promoted to production. If you select the Promote to Production option from the More icon for the outbreak event form, the form opens with a warning message displaying that one or more persons are entering data in the form and it cannot be promoted to production. The edited form can be promoted to production only when no one has an active session. Once the promotion starts, the form is in read-only mode until it is completely promoted. Select the Cancel Promote to Production option to cancel this action.
