VOMS Organization/Facility Client User Guide (v. March 2018) |
If the organization/facility Allow Transfers option and the Administration > Settings > Properties > Vaccine Management > Enable Vaccine Advertisement option are enabled in IWeb, authorized users can advertise vaccines to other organizations/facilities that might have a greater need for them. The other organizations/facilities can then request that the advertised vaccines be transferred to them. Authorized users can also request that specific vaccines be transferred to their own facility.
Both the advertised vaccines available for transfer to the facility and the advertisements posted by the facility are displayed on the Advertisement Listing: Vaccines Available for Transfer tab section on the Orders and Transfers page. To access the information, click the Orders & Returns > Orders & Transfers menu link, and then click the Advertisement Listing tab.
There are two sections on this page:
To view the list of advertised vaccines, click the Orders & Returns > Orders & Transfers menu link, and then click the Advertisement Listing: Vaccines Available for Transfer tab.
If the Restrict Transfer Distance property is set, the advertised vaccines listed are the ones available within the configured distance range. Advertised vaccines available outside of the configured distance are not displayed in the list. Otherwise, if the property is not set, all advertised vaccines are listed.
To search for a specific vaccine, either enter the first few characters in the search box (after which the list narrows to display only the vaccines that contain those characters in one of the fields), or click the Vaccine column header to sort the list alphabetically.
To request a vaccine, locate the vaccine in the list and enter the number of needed doses in the Requested Doses field. Note that the number of requested doses cannot exceed the number of available doses. Select as many vaccines as required and click Request Transfer at the bottom of the page. The Submit Transfer Confirmation window opens; review the information and click Submit. The transfer request is submitted for approval and a confirmation pop-up appears; click Confirm.
The columns and fields in the Available Advertisements section are as follows:
Column/Field | Description |
Vaccine | The vaccine, product details, package type, NDC number, and funding source. |
Lot # / Exp Date | The lot number and expiration date for the vaccine. |
Doses Available | The number of doses of the vaccine available for transfer. |
Contact Info | The contact information (name, phone number, email address) for the facility advertising the vaccine. |
Location | The city, state, and zip code for the sending organization/facility. |
Date Advertised | The date the vaccine was first advertised. |
Requested Doses | Enter the number of doses requested for the transfer. |
Once a request for a vaccine has been submitted, that vaccine is removed from the list of advertised vaccines. If the transfer request is denied, the vaccine is placed back in the advertisement listing (as long as the lot has not yet expired). If the transfer request is approved, the vaccine is sent to the requesting organization/facility.
To advertise vaccines available for transfers, click the Orders & Returns > Orders & Transfers menu link, and then click the New Transfer button on the Orders and Transfers page. The New Transfer page opens. Toward the top of the page is a Transfer / Advertise toggle switch; toggle the switch to Advertise. The page name changes to Advertise Vaccine.
Locate the vaccines available for transfer in the list, enter the transfer quantities, add the transfer reasons, and click Submit Advertisement. The vaccines are then listed in the Advertisement Listing tab section on the Orders and Transfers page. Note that the advertisement only appears for facilities that either do not have a transfer distance restriction set or for facilities that are within the configured transfer distance.
The available columns and fields on this page are as follows:

On the Orders and Transfers page, scroll down to the Advertisements Posted by Your Facility section, make any necessary changes, and click Save. A confirmation window opens; review the changes and click Confirm.
