The topics below give an overview of the application's functionality for State users.
During the onboarding process, State users may want to rank individual providers based on their potential ability to be easily onboarded, or even to place a provider on a waitlist to allow for a period of time to pass before continuing the onboarding process. Onboarding stages, waitlisting, waitlist ranking, and scoring can be used to control where providers are slotted during the overall onboarding process for all providers.
There are four required onboarding stages - Pre-Discovery, Waitlisted Ready, Waitlisted Not Ready, and Production - and the ability to add additional optional stages, such as Planning, Pre-Discovery, and Pre-Go Live. These stages are used throughout the application and providers can easily be moved between stages. State users can configure which optional stages are used on the Onboarding Preferences page. To easily see which providers are currently in which onboarding stage, see the three tab sections on the Provider List page.
Use each of the onboarding stages as a method for keeping track of where each provider is in the onboarding process and advance a provider (by selecting the next stage from the drop-down list) when they are ready to move on to the next steps.
Two of the required onboarding stages are Waitlisted Ready and Waitlisted Not Ready. These stages provide a way to put a provider on "hold" during the onboarding process. For example, use:
Note that the Waitlisted Ready and Waitlisted Not Ready onboarding stages are different from the Waitlist Ranking. The Waitlisted Ready and Waitlisted Not Ready onboarding stages can be used with or without Waitlist Ranking, and Waitlist Ranking can be used with all onboarding stages.
Within each stage on the Provider List page, providers can be ranked based on what order they are to be processed within the stage. State users manually rank providers and can easily change a provider's rank at any time. Some users may wish to rank providers based on the responses given on their Interface Form, while other uses may want to onboard all of the facilities for a particular organization first, before moving on to another organization. By using the ranking system, users can easily see on the Provider List page which provider is next on the list for each onboarding stage. Note that the Activate/Deactivate Waitlist and Ranking option must be enabled on the Onboarding Preferences page in order to view the Waitlist Ranking column on the Provider List page.
When creating the Interface Form, State users can weigh many of the responses so that if a provider selects a certain response, their overall score increases. Providers with higher overall scores on the interface form may be able to be onboarded faster and more easily than providers with lower scores. For example, a user could give the Yes response a higher weight than the No response on the "Does your EHR have the ability to use a bi-directional interface" question, if a Yes answer is important in determining how easily a provider can be onboarded.
On the pages that show HL7 messaging and quality data for providers, a drop-down list is available to switch between Pre-Production and Production. This drop-down allows users to switch between test (pre-production) and live (production) data for review purposes. For example, if a provider is in a pre-production testing stage, real data should not be sent to the live IIS database. In that case, select Pre-Production from the drop-down list. When the provider finally goes live, select Production from the drop-down list so that the monitored data can be assessed for true quality.
