Pending Work Queue Tab

Data that needs to be addressed by an authorized user is stored in the Pending Work Queue until it can be resolved. To access the Pending Work Queue, click the Home > Pending Work Queue tab. The page displays a list of items that need to be resolved.

Under the list of records, the number of records displayed on the page is listed (for example, Showing 1 to 8 of 8 entries) and on the right side of that line are previous and forward arrows; click the arrows as needed to display additional records.

The available fields, columns, options, and buttons on the Pending Work Queue are as follows:

Field/Column/Option/Button Description
Purge Work Queue Click this button to remove the pending work queue items.
Refresh List Click this button to refresh the pending work queue list.
Show ___ entries Select from the drop-down list the number of entries to display on the page: All, 10, 25, 50 or 100.
Search Enter the search criteria. The search can be performed for the following fields:
  • Date Added
  • Type
  • Current Owner
  • Jurisdiction
  • Added By
The list automatically filters based on what is entered in the field.
Date Added The date the case was added in the system.
Type Indicates the condition for manually assigning the cases with the ELR.
Current Owner The person who is currently resolving the case.
Jurisdiction The region or the area of the investigator.
Added By The name of the person who added the case in the system.
Resolve Click this button to manually resolve the issue.
Delete If this button appears, click it to remove the case from the pending work queue.
Unlock As you begin editing a case, the case locks so other users cannot use it, and this button displays. Click this button to unlock the case.

 Resolve Patient or Case Deduplications (Manual Resolutions)

The pending work queue list displays the following types of entries in the Type column. The Resolve button is enabled only for the oldest record for all the MPI entries.

MPI Notification - Update

To resolve an MPI Notification - Update record in the pending work queue list, click the Home > Pending Work Queue tab. The records need to be resolved in the order they are displayed on the tab. Since the first record is the oldest, it must be resolved first, and only this record has the Resolve button enabled. Click the Resolve button to resolve the record. The Patient Record Update page opens. Review the information and select the radio button for the information you want to update.

After reviewing the information, click the Continue button to update the record. The next entry from the Pending Work Queue list opens. Click the Back button to return to the main Pending Work Queue tab page.

NOTE: If a user is editing or has edited the case associated with the Pending Work Queue record, Sentinel indicates that the record is locked and an Unlock button appears to the right of the record.

MPI Notification - Merge

The MPI merge notification is displayed in the pending work queue list when a new case is created with a new disease for an existing patient. The new case can also be a case with an existing disease that is associated with the patient when the event date of that disease falls within the probable match range configured for that disease by the system administrator.

To resolve an MPI Notification - Merge record in the pending work queue list, click the Home > Pending Work Queue tab. The records need to be resolved in the order they are displayed on the tab. Since the first record is the oldest, it must be resolved first, and only this record has the Resolve button enabled. Click the Resolve button to resolve the record. The Patient Record Merge page opens. Review the information and select the radio button for the information you want to merge.

In the Patient Address section, do one of the following:

After reviewing the information, click the Continue button to merge the record. If a new record is created as a new investigation and merged with an existing patient, it supersedes the old investigation that was associated with the patient. The next entry from the Pending Work Queue list then opens. Click the Back button to return to the main Pending Work Queue tab page.

NOTE: If a user is editing or has edited the case associated with the Pending Work Queue record, Sentinel indicates that the record is locked and an Unlock button appears to the right of the record.

MPI Notification - Add

To resolve an MPI Notification - Add record in the pending work queue list, click the Home > Pending Work Queue tab. Since the first record is the oldest, it must be resolved first, and only this record has the Resolve button enabled. Click the Resolve button to resolve the record. The patient is automatically added and the pending work queue tab page reappears.

Assign Conditions

When an ELR is submitted with a test code and result code combination that is not in the Lab Observation Mapping table, the lab report appears in the pending work queue for manual assignment of the appropriate condition.

To manually assign a condition to the lab report, first search for the record and/or locate it in the pending work queue list, then click the Resolve button for the record. The Lab Reports (Unknown Test Code/Result Code) page opens. Determine the action to perform and click one of the following buttons on the Lab Reports (Unknown Test Code/Result Code) page:

Field/Option/Column/Button Description

Lab Reports

Date Received The date the lab report was received.
Test Name The name of the test ordered.
Laboratory Name The laboratory name where the specimen was tested.
View Click this button to view the lab report and add the test code and result code combination to the Lab Observation Mapping table. See View the Lab Report and Add the Test Code and Result Code to the Table.
Disease Names (For Manually assigning cases with this ELR) Select the reportable disease name from the Disease Names (For Manually assigning cases with this ELR) list.
Assign Click this button to assign a condition. The test code and result code combination is not added to the Lab Observation Mapping table.
No Case Click this button to indicate the test report and test results combination does not result in a case for a reportable condition.
Cancel Click this button to return to the Pending Work Queue tab page.

Assign a Condition

To assign a condition to the case created by the ELR, select the disease name from the Disease Names (For Manually assigning cases with this ELR) list and click the Assign button. The case is created with the assigned disease name, but the test code and result code combination is not added to the Lab Observation Mapping table.

View the Lab Report and Add the Test Code and Result Code to the Table

To view the lab report and to add the test code and result code combination to the Lab Observation Mapping table, click the View button for the lab report. The Lab Order Information page opens. In the Lab Result section, first select which observation is to be added as the test code and result code combination for the disease. Select the observation with most complete information and optionally enter more information associated with the test code and result code combination in the fields below the Lab Mapping field. Select the disease name from the Disease Name field and click the Add Disease Code button. The test code and result code combination is added to the Lab Observation Mapping table for the disease. All future ELRs with this test code and result code combination are assigned to the selected disease name. Click the Done button to return to the main Pending Work Queue tab page. To view the electronic HL7 log entry, click the View HL7 Log Entry button. See View the Electronic HL7 Log Entry and Create a New Manual Lab Report.

The fields available on the Lab Order Information page are the same as detailed in the Create a New Manual Lab Report section, with the following additional fields:

Test/Result 1

Use fields 1, 2, 3 from OBX 3 and OBX 5 Indicates the fields to be used for the mapping. The fields 1, 2, 3 from OBX 3 and OBX 5 are used.
Test Description (OBX 3-2) The name of the test description. It is automatically populated from the lab report.
Test Code (OBX 3-1) The lab test code of the test done. It is automatically populated from the lab report.
Test Coding System (OBX 3-3) The name of the lab test coding system used for the lab test. Although the system allows anything to be entered here due to an unexpected ELR, the known possible values are LN - LOINC Code, SNM -SNOMED Code, and L - Local Code.
If the system detects LN and/or SNM for one of the sets, it automatically populates the LOINC Test Code and SNOMED Result Code. If not, you can enter them or edit the Lab Observation Mapping table afterwards.
NOTE: This is a key field that the system uses to make sure there are no duplicates when adding or editing.
Result Description (OBX 5-2) The description of the lab result.
Result Code (OBX 5-1) The result code for the lab result.
Result Coding System (OBX 5-3) The result code of the reported test name.

Test/Result 2

Use fields 4,5,6 from OBX 3 and OBX 5 Indicates the fields to be used for the mapping. The fields 4, 5, 6 from OBX 3 and OBX 5 are used.
Test Description (OBX 3-5) The name of the test description. It is automatically populated from the lab report.
Test Code (OBX 3-4) The lab test code of the test done. It is automatically populated from the lab report.
Test Coding System (OBX 3-6) The name of the lab test coding system used for the lab test. Although the system allows anything to be entered here due to an unexpected ELR, the known possible values are LN - LOINC Code, SNM -SNOMED Code, and L - Local Code.
If the system detects LN and/or SNM for one of the sets, it automatically populates the LOINC Test Code and SNOMED Result Code. If not, you can enter them or edit the Lab Observation Mapping table afterwards.

Result Code (OBX 5-4) The result code for the lab result.
Result Coding System (OBX 5-6) The result code of the reported test name.
Lab Mapping The name of the associated lab observation mapping being used.
Abnormal Flag Indicates whether the result is abnormal based on the specification that defines the result to be abnormal.
Observation Result Status The observation result status.
LOINC Test Code Enter the LOINC test code associated with the lab test code.
SNOMED Result Code Enter the SNOMED result code associated with the lab result code.
Disease Name * Select the disease name for the disease code information (LOINC Test Code and SNOMED Result Code) from the drop-down list. This field is required.
Specimen Source Select the origin of the specimen/sample from the drop-down list. Example: Urine, Blood, etc.
Organism Name Select the name of the organism identified in the specimen source from the drop-down list.
Organism Species Select the name of the organism species from the drop-down list.
Organism Serogroup Select the name of the organism serogroup from the drop-down list.
Organism Serotype Select the name of the organism serotype from the drop-down list.

Case Deduplication Records

When a new case is added, the application attempts to find the duplicates and if one is found, the new case is added in the pending work queue list as a Case Dedup record.

To resolve a Case Dedup record in the pending work queue list, click the Home > Pending Work Queue tab. First search for the record and/or locate it in the pending work queue list, then click the Resolve button for the record. The possible duplicate case entries are displayed. Click the Details button to view the case details; it may assist you in deciding if the case is actually a duplicate case or not. The case details opens in another browser tab or window. Select the cases that are duplicates by clicking the Duplicate checkbox. The cases that are marked as duplicates can be searched using the Investigation Status of Superseded. After selecting the cases, click the Complete Case Dedup button to continue with the deduplication or click the Defer button to process the records later.
